Terms of Service

DRAFT — pending legal review. This document is a working starting point intended to make the consent step on signup meaningful while we engage qualified legal counsel for a final pass. It is not legal advice and may be revised materially before Beta rollout.

1. Acceptance

By creating or using a LandlordPro account, you agree to these Terms of Service and the Privacy Policy. If you do not agree, please do not use the service. We may update these Terms from time to time; for material changes, we will notify active account holders by email at least 14 days before the change takes effect.

2. Who can use LandlordPro

LandlordPro is intended for property owners, property managers, agency staff, and the tenants they invite. You must be at least 18 years of age and have the authority to enter into these Terms (either on your own behalf or on behalf of the organisation you represent).

3. Your account

  • Accounts are created either by request (subject to administrator approval) or by invitation from an existing administrator or Property Manager.
  • You are responsible for keeping your password confidential and for all activity that occurs under your account.
  • Notify us promptly at support@landlordpro.me if you suspect unauthorised use of your account.

4. Acceptable use

You agree not to use LandlordPro to:

  • Violate any applicable law or regulation.
  • Infringe the privacy or intellectual property rights of others.
  • Upload, store, or process personal data of third parties (e.g. tenant identification documents) without a lawful basis for doing so.
  • Send spam, harass others, or attempt to gain unauthorised access to systems or data.
  • Reverse engineer, copy, or attempt to derive the source code of the service except where such activity is explicitly permitted by applicable law.

5. Your content and data

You retain ownership of the data you put into LandlordPro (properties, tenants, payments, documents, photos, and so on). You grant us a limited licence to store, process, and display that data strictly for the purpose of operating the service for you. We do not use your data for advertising, profiling, or any purpose unrelated to running LandlordPro. See the Privacy Policy for full details.

6. Tenant Portal — analytics acknowledgement

If you use the Tenant Portal (the interface available to tenants invited to LandlordPro by a Property Manager), you acknowledge that your interactions are captured by our product analytics processor, PostHog Cloud, as described in the Privacy Policy. Analytics are used to improve the service during Beta. A per-user opt-out is on the roadmap but not yet implemented; if this is unacceptable, please contact us at privacy@landlordpro.me.

7. Beta status

LandlordPro is currently in Beta. The service is provided as-is, and features, availability, and pricing may change without prior notice during this period. We will give reasonable notice for changes that affect access to your data.

8. Termination

  • You may close your account at any time by emailing support@landlordpro.me.
  • We may suspend or terminate accounts that violate these Terms, including without limitation Section 4 (Acceptable use).
  • Upon termination, we will retain or delete your data as described in the Privacy Policy, subject to legal retention obligations.

9. Disclaimer of warranties

LandlordPro is provided as is and as available, without warranties of any kind, whether express or implied, including but not limited to merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be uninterrupted, error-free, or that defects will be corrected.

10. Limitation of liability

To the maximum extent permitted by applicable law, LandlordPro will not be liable for any indirect, incidental, consequential, special, exemplary, or punitive damages, or for any loss of profits, revenue, data, or goodwill, arising out of or in connection with your use of the service. Our aggregate liability for any claim arising out of these Terms will not exceed the amount you paid us in the twelve months preceding the claim, or, where no payment has been made, US$100.

11. Indemnification

You agree to indemnify and hold harmless LandlordPro and its operators from any claim, liability, or expense (including reasonable legal fees) arising out of your use of the service, your content, or your violation of these Terms.

12. Governing law and disputes

These Terms are governed by the laws of the Republic of Trinidad and Tobago, without regard to its conflict-of-laws provisions. Any dispute arising out of or in connection with these Terms will be subject to the exclusive jurisdiction of the courts of Trinidad and Tobago, unless otherwise required by mandatory law in your country of residence.

13. Changes to the service

We may from time to time modify or discontinue features of LandlordPro. We will use reasonable efforts to notify active account holders of significant changes. Continued use of the service after such changes constitutes acceptance of the modified service.

15. Founding Member addendum

These additional terms apply only if you reserve a Founding Member spot during the pre-Beta window. They sit alongside the main Terms above; in case of conflict on Founding-Member-specific topics, this section controls.

15.1 What you get

  • Early access to LandlordPro before public Beta, on the Portfolio capacity tier (up to 25 units, 25 GB of documents and media, Primary PM + 1 Associate).
  • 30% off Year 1 of whatever the published Portfolio-tier price turns out to be, applied automatically when official pricing launches and your first annual subscription is invoiced.
  • A direct line to the team for feedback and shaping decisions. We read every Founding Member email personally.

15.2 What you are not getting

  • No service-level agreement. Pre-Beta software ships with rough edges. We aim to respond to Founding-Member email within two business days during the Beta window — that is an aspiration, not a contract.
  • No price lock beyond Year 1. Years 2+ are billed at the then-current published rate.
  • Limited support hours. No 24/7 line, no instant messaging, no on-call coverage. Email only.

15.3 What the $30 is

The $30 USD is collected by Stripe when you reserve your spot. It is not a charge for a product — it is credited in full toward your first invoice when official pricing launches and you choose a subscription tier. Think of it as a head start on your subscription, not a fee. If you decide not to subscribe, you get it back in full per the next section.

15.4 Refunds

If you decide LandlordPro is not for you, email support@landlordpro.me any time before your first subscription invoice and we will refund the full $30 via Stripe within 5 business days. There is no time limit — until you subscribe, the $30 is either a credit waiting for you or a refund waiting for you.

15.5 Spot capacity

Founding Member is capped to a small first wave so we can give each member real attention. We may close the Stripe Payment Link at any time when the cap is reached; if the link is closed at the moment you click, you will see Stripe's standard "this link is no longer accepting payments" page rather than being charged.

15.6 Cancellation

You can cancel your Founding Member status at any time by emailing support@landlordpro.me. If you cancel before your first subscription invoice, you get the full $30 back per 15.4. Either way, you keep access to anything you uploaded during the early-access window for at least 90 days after cancellation.
